The Office Support Representative - Reservations & Permits is a full time Civil Service position in the Metro Parks and Recreation department. The primary duties of this position consist of processing permits for picnic shelters, inflatables, model aircraft/boats, athletic fields, food trucks, and special events. The role ensures accurate reservation records, serves as a key point of contact for the public, and manages communication with both internal and external users to support efficient permit operations.
Metro’s Parks and Recreation Department offers a variety of facilities and programs throughout Davidson County. Currently, the department oversees nearly 16,000 acres of open space, including 184 parks and 107 miles of greenway. Metro Parks offers after school programs for children, activities for seniors (55 ), cultural arts classes, dog parks, fitness classes, nature programs, sports leagues, ice hockey, art galleries, and much more. - Typical Duties
- Process and manage permits for picnic shelters, inflatables, model aircraft/boats, athletic fields, food trucks, and special events.
- Provide customer service via phone, email, and walk-in assistance.
- Maintain electronic records, verify documentation (licensing, insurance), and update accounts as needed.
- Coordinate and manage communication with internal staff, external partners, community groups, and the general public to ensure accurate information flow and timely resolution of permit related issues.
- Collect and reconcile fees; prepare daily and weekly financial reports and deposits.
- Generate invoices and ensure accuracy of related financial information.
- Prepare forms, letters, memos, notices, and related documents.
- Compile and maintain files, records, and reports for the Permit Office.
- Serve as a primary point of contact/receptionist when assigned.
- Respond to public inquiries, provide permit information, and ensure courteous service.
- Enforce departmental policies and facility regulations.
- Address and document complaints or concerns related to permits.
- Assist supervisors, administrators, and managers as needed.
- Train part-time staff as assigned.
- Help stock supplies and maintain an organized work environment.
- Support operations at alternate facilities during non-peak seasons.
- Perform other related duties as assigned.
- Minimum Qualifications
EDUCATION AND EXPERIENCE
High School Diploma or equivalent.

- Proficiency in computer software products
- Experience operating a multi-line phone system
- Experience taking reservations & permit processing
- Experience accepting payments, reconciling funds, and preparing deposits
